Privacy Policy

1. Who we are
TuteNest is a management platform for tuition centres and coaching institutes, operated by ECOASIA Private Limited ("ECOASIA", "we", "us", "our"). This Privacy Policy explains what personal information we handle when you use the TuteNest website, web application, or Android app, and the rights you have. It should be read together with our Terms and Conditions, which is the controlling document where the two overlap.
2. Information we collect
We collect only what is reasonably necessary to run a tuition centre:
- Account details — name, email address, phone number, and the password hash for accounts that use one. Teachers also provide their tuition centre's name.
- Student records — a student's name and date of birth, and an optional parent/guardian name, phone, and email, entered either by the teacher when building the roster or by the student during sign-up.
- Operational data — attendance, marks, class agendas/diary entries, batch and timetable configuration, and fee invoices (amounts, cycles, due and paid status, and any UPI reference a student enters). We do not collect card or bank-account numbers.
- Technical data — a small number of strictly necessary cookies to keep you signed in, and server logs (including IP address and timestamps) kept briefly for security and troubleshooting.
We do not collect location, contacts, photos or media, device advertising identifiers, or anything for advertising. We use no third-party advertising or analytics SDKs in the app.
3. How we use it
- To provide the service — record attendance, raise and track fees, share agendas and holiday notices, and show students their own records.
- To authenticate you (including one-time codes sent by WhatsApp or email, and "Sign in with Google").
- To send the notifications you or your teacher have enabled — fee reminders, leave and holiday updates, and on-device class reminders.
- To respond to support requests and to keep the service secure and working correctly.
- To meet legal, accounting, and audit obligations.
4. Legal basis
Where the Digital Personal Data Protection Act, 2023 and other applicable Indian law apply, we process personal data to perform our contract with you, to comply with law, and — for optional communications — on the basis of consent, which you can withdraw at any time.
5. Who we share it with
We do not sell personal information, and we do not share it for anyone else's advertising. We share it only with service providers that help us run TuteNest, under contract and only for that purpose:
- Hosting — our application and database run on our own cloud server.
- Messaging — WhatsApp messages are delivered through Meta's WhatsApp Business Platform; transactional email is sent through our email provider.
- Payments — fees are normally paid over UPI directly to the tuition centre's own account, and that transfer does not pass through TuteNest. If a centre enables gateway collection, payment details are handled by the payment provider under its own terms and privacy policy.
- AI marking — when a teacher asks for a draft mark on a piece of homework, the question, the teacher's answer key and the student's typed answer are sent to Google's Gemini API to produce a suggested mark and feedback. The student's name is never sent. Nothing is sent unless a teacher asks for that specific piece of work to be marked, and the draft is only ever a suggestion: the mark a student receives is always the one their teacher decides.
- Legal — where required by law, court order, or to protect our rights or users' safety.
6. Retention and deletion
We keep personal data for as long as your account is active and as needed to provide the service, then for any period required to meet legal, tax, and audit obligations, after which it is deleted or anonymised. You can delete your own account from the app's settings (which removes your login), or ask us to delete your data by writing to care@tutenest.com. A teacher who deletes their account must first remove their batches and students; the academy record itself is retained.
7. Security
All traffic is encrypted in transit (HTTPS). Passwords are stored only as salted hashes. We follow reasonable security practices consistent with the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
8. Children
Many students who use TuteNest are minors. Where a student is under 18, the account is created and used with the involvement of a parent, guardian, or the teacher who runs the centre, and — where the Digital Personal Data Protection Act, 2023 requires it — with verifiable parental consent. We do not show advertising to anyone, do not use a minor's data for advertising or profiling, and do not sell it. A parent or guardian may contact us at care@tutenest.com to review or delete a child's data.
9. Your rights
Subject to applicable law, you may:
- access a summary of the personal data we hold about you;
- ask us to correct data that is inaccurate or out of date;
- request erasure of your data, subject to our legal retention obligations (section 6);
- withdraw consent for optional communications; and
- raise a grievance about how your data is handled.

10. Where your data is processed
TuteNest is operated from India and the Netherlands, and your data may be processed in either location and by the service providers described in section 5. Where data is transferred across borders, we take steps to ensure it remains protected in line with this policy and applicable law.
11. Changes to this policy
We may update this Privacy Policy from time to time. When we make a material change we will update the date below and, where appropriate, notify you in the app or by email. Continued use of TuteNest after a change means you accept the updated policy.
